Why Sustainability Matters 

Schools have a responsibility to model environmentally conscious practices and reduce their carbon footprint. Cutting down on printing and paper waste not only saves money but also supports net-zero targets and teaches students the importance of sustainability. Embracing digital workflows helps schools become more efficient while contributing to global environmental goals. 

How AI Supports Digital Workflows 

AI tools embedded in Microsoft 365, Google Gemini, and Canva make it easier to work digitally and avoid unnecessary printing. Copilot can draft documents, create presentations and summarise reports, all ready to share online. Instead of producing stacks of paper, schools can collaborate in real time using cloud-based tools, reducing waste and improving accessibility. AI also helps organise and analyse data without generating lengthy printed reports, making workflows leaner and greener. 

Practical Ways Schools Can Use AI Sustainably 

Schools can embed sustainability into everyday processes by using AI to reduce paper waste and optimise resources: 

  • Digital-first communication: Draft newsletters and policy updates in Word with Copilot and share via email or Teams. 
  • Paperless meetings: Use Copilot in Teams to create agendas and summaries, then distribute digitally. 
  • Data-driven sustainability: Analyse printing logs and energy usage in Excel with Copilot and create dashboards to track progress. 
  • Reusable digital resources: Design templates in Canva for posters and announcements, reducing physical displays. 
  • Curriculum integration: Encourage teachers to create interactive lesson slides in PowerPoint with Copilot, minimising handouts. 

These practices cut costs, reduce emissions and model eco-friendly behaviours for staff and students, supporting net-zero goals and digital confidence.

Activity: Create a Digital Solution for Your Role

 Apply AI to Solve a Real School Challenge 

Task: 

  1. Choose one AI tool from the modules (Microsoft Copilot, Google Gemini, Canva Magic Studio or NotebookLM). 
  1. Identify a realistic challenge in your role (e.g., preparing a parent communication, analysing attendance data, creating a presentation, designing a poster, or summarising a policy). 
  1. Use the chosen AI tool to produce a digital output that addresses the challenge:  
  • Teachers: Create a lesson resource or revision guide. 
  • Leaders: Generate a data dashboard or strategic briefing. 
  • Admin Staff: Design a newsletter, meeting summary, or event poster. 

Ensure your solution:  

  • Demonstrates efficiency and accessibility. 
  • Reflects sustainability principles (digital-first, reducing printing). 
  • Shows continuous improvement (e.g. refining tone, adding visuals, improving clarity). 

Note: Bring  your finished product to the live session (document, slide deck, infographic or embedded design) and be prepared to discuss: 

  • The prompt(s) you used. 
  • A short reflection: How did AI improve your workflow? What would you do differently next time?
